Income and costs

Apartment rental operating costs to include

To understand rental performance, start with income and deduct each owner-paid expense once. Separate recurring costs, costs linked to stays and occasional spending. Use agreed charges and actual records for your own apartment.

Separate fixed and activity-related costs

Some expenses continue regardless of bookings, such as property charges defined by your building agreement. Others depend on usage or turnover, such as laundry, cleaning and replenishment. Utilities may contain both recurring and usage components.

Identify who pays each item under the actual rental agreement. A monthly rent figure and a short-stay rate may include different services, so their gross amounts are not directly comparable.

Include channel and management arrangements

Our management fee is 20% of rental income with the calculation basis confirmed in the agreement. External platforms have their own charges and terms. Record whether each deduction has already been taken out of the income figure you use.

Double counting a platform deduction or omitting a recurring charge can materially change an estimate. Keep the original booking statement and the owner statement together when reconciling a period.

Keep setup spending distinct

Furniture, initial appliance purchases and a preparation project should be recorded separately from the routine operating period. Discuss repairs, replacements and any approval thresholds before the service starts.

The homepage calculator deducts the expenses entered and excludes tax, financing, capital spending and property appreciation. It does not replace accounts or professional advice. For an operating comparison, keep the same period and expense treatment in every scenario.

Owner checklist

  • List who pays each expense.
  • Check whether platform charges are already deducted.
  • Separate initial setup from routine operation.
  • Reconcile income and expenses over the same period.

Questions owners ask.

Does net rental income mean profit after every possible cost?

Check the definition. A model may exclude tax, financing or capital spending; those exclusions must be clear.

Are cleaning and repairs included in the 20%?

Their costs follow the agreed plan. Coordinating services does not mean their charges are included in the percentage.
